Job Description:

We are seeking a detail-oriented Administrative Assistant to join our team in Rancho Cordova, CA, supporting operations within an insurance company environment. The Administrative Assistant will play a vital role in handling documentation, communication, and administrative processes related to billing and provider coordination. A medical or insurance background is preferred but not required—training will be provided for the right candidate.

  • Pay: $20/hour (possibility for increase after 90-day period)
  • Schedule: Monday–Friday, 8:00 AM – 4:30 PM

Key Responsibilities

  • Answer and direct incoming phone calls professionally
  • Respond to emails regarding bill status and incoming invoices
  • Prepare incoming mail (removing staples, adding separator pages)
  • Scan bills and documentation into internal systems accurately
  • Mail, fax, and email EORs (Explanation of Review) to providers
  • Contact providers to request W9 forms; create follow-up request letters as needed
  • Maintain and update spreadsheets with accurate tracking data
  • Work pend queues (deleting bills, rescanning, and contacting clients for clarification)
  • Invoice bills and send completed documentation back to clients

Qualifications

  • Previous experience as an Administrative Assistant or in a similar role preferred
  • Experience in insurance, healthcare, or medical billing is a plus (not required)
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Office (Excel, Outlook, Word)
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks in a fast-paced environment
