Job Description:
A well-established and fast-paced boutique law firm in Calabasas is seeking a skilled and detail-oriented Legal Office Coordinator with strong probate law experience to provide comprehensive support to attorneys. This role is heavily focused on probate and estate administration matters, with additional exposure to litigation, corporate, and real estate practice areas. The ideal candidate will play a critical role in ensuring the efficient day-to-day operation of the office while providing high-level administrative and legal support to attorneys and clients navigating sensitive probate matters.
- Location: Calabasas, CA
- Hourly Rate: $24.00–$30.00/hr DOE
Key Responsibilities
• Manage attorney calendars, including probate court hearings, deadlines, client meetings, and internal case milestones.
• Draft, format, proofread, and finalize probate-related legal documents, including petitions, notices, accountings, letters, pleadings, and court filings.
• Prepare and manage probate court filings, including e-filing, service of documents, and tracking statutory deadlines.
• Maintain organized and accurate probate and estate administration files, both physical and electronic, ensuring confidentiality and compliance.
• Communicate professionally and compassionately with probate clients, beneficiaries, courts, vendors, and opposing counsel.
• Coordinate court logistics, document delivery, and calendaring of hearings and statutory timelines.
• Assist with billing, timekeeping, and monitoring office supply levels.
• Handle sensitive and confidential information with the utmost integrity, particularly in estate and probate matters.
• Contribute to a collaborative, team-oriented work environment and proactively resolve administrative and case-related issues.
Qualifications
• Experience: Minimum 1–2 years in a law firm or legal department, with demonstrated experience in probate or estate administration.
• Probate Knowledge: Familiarity with probate court procedures, filings, deadlines, and terminology, probate experience is required.
• Technical Skills: Proficient in Microsoft Office (especially Word and Excel), legal document formatting, and e-filing systems.
• Communication: Excellent verbal and written communication skills, with the ability to interact professionally and empathetically with probate clients.
• Detail-Oriented: Strong attention to grammar, legal formatting, deadlines, and document accuracy.
• Organizational Skills: Ability to multitask, prioritize responsibilities, and work efficiently in a deadline-driven environment.
• Professionalism: Maintains confidentiality, exercises, sound judgment, and demonstrates a strong client-service mindset.
