Job Description:
Exact Staff is seeking for a detail-oriented Records Assistant to support a criminal justice office in Delano, CA. The Records Assistant is responsible for maintaining, processing, and safeguarding confidential criminal justice records and documents. This position provides administrative support by organizing, filing, retrieving, and updating records while ensuring compliance with departmental policies, legal requirements, and confidentiality standards. The ideal candidate is well organized, and capable of handling sensitive information with professionalism and discretion, and able to keep up in a fast paced matter.
- Full Time, Temporary
- Pay Rate: $19.92/ HR
- Schedule: Monday-Thursday 7:30AM-6PM
- Location: Delano, CA
Essential Duties and Responsibilities
- Maintain, organize, and process criminal justice records, reports, and related documentation.
- Enter, update, and verify information in records management systems and databases.
- Retrieve records and provide authorized information to department personnel and approved agencies.
- Scan, index, file, and archive physical and electronic records.
- Ensure records are accurate, complete, and compliant with departmental procedures and legal requirements.
- Assist with public records requests in accordance with applicable laws and regulations.
- Maintain strict confidentiality of sensitive information and criminal justice data.
- Prepare correspondence, reports, and other administrative documents as needed.
- Respond to inquiries from staff, law enforcement agencies, courts, and authorized members of the public.
- Assist with records retention and destruction procedures according to established guidelines.
- Assist in report creation for criminal, citations, and traffic warrants
- Receive, answer, and screen calls as needed
- Perform general clerical and administrative support duties as assigned.
- Ability to handle cash and biweekly payroll checks
Qualifications
- High school diploma or equivalent required; Associate degree in Criminal Justice, Public Administration, Business Administration, Behavioral Science and/ or a related field preferred.
- Previous administrative, records management, data entry, or criminal justice experience preferred.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite and database management systems.
- Ability to maintain confidentiality and handle sensitive information.
- Excellent organizational, communication, and time-management skills.
- Ability to work independently and as part of a team.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Frequent use of computers and office equipment.
- Ability to lift and move files and records weighing up to 25 pounds.
- Occasional bending, reaching, and filing.
