Job Description
We are seeking a detail-oriented and organized Shipping Office Clerk to join our team at a fresh-cut flower warehouse in California. The ideal candidate will be responsible for coordinating and overseeing all aspects of truck deliveries and pickups, managing proof of deliveries, and ensuring the smooth operation of the shipping office.
DUTIES AND RESPONSIBILITIES:
- Coordination of Truck Deliveries and Pickups:
- Schedule and coordinate inbound and outbound shipments of fresh-cut flowers.
- Work closely with the production department as well as transportation providers to ensure timely and efficient deliveries.
- Maintain accurate records of shipment schedules, delays, and changes.
- Proof of Deliveries (PODs):
- Manage and organize all proof of deliveries for incoming and outgoing shipments.
- Verify and record deliveries, ensuring accuracy and completeness of documentation.
- Communicate any discrepancies or issues with relevant stakeholders.
- Documentation and Record Keeping:
- Maintain organized and up-to-date records of shipping activities.
- Prepare shipping documents, including bills of lading and shipping labels.
- Collaborate with the finance department to reconcile shipping invoices and resolve discrepancies.
- Communication and Collaboration:
- Liaise with warehouse staff, drivers, and other departments to ensure seamless coordination.
- Communicate with suppliers, carriers, and customers to address inquiries and resolve issues.
- Collaborate with the warehouse manager to optimize shipping processes and improve overall efficiency.
- Quality Control:
- Report any damaged or substandard items to the appropriate department for resolution.
- Compliance:
- Ensure compliance with all relevant shipping regulations and industry standards.
- Stay informed about changes in shipping laws and regulations.
- Customer Service:
- Provide excellent customer service by addressing both internal and external customer inquiries and concerns related to shipping.
- Collaborate with customer service teams to meet customer delivery expectations.
QUALIFICATIONS:
- High school diploma or equivalent; additional education or certification in logistics is a plus.
- Proven experience in a shipping or logistics role, preferably in a warehouse environment.
- Fully bilingual (English and Spanish)
- Strong organizational and multitasking skills.
- Excellent attention to detail and accuracy.
- Proficient in using shipping software and Microsoft Office Suite.
- Effective communication and interpersonal skills.
- Knowledge of shipping regulations and compliance standards.
- Ability to work in a fast-paced environment and adapt to changing priorities.
